What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Comments left on the website may be processed by third-party anti-spam software. These services do not store your details and simply allow us to filter out spam or unwanted comments.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

When you send us a message through our contact form, we will see your email address and the name you enter. We will use this information to email you back.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Your personal contact details

When you register as a student on MedievalCourses we collect your name, address and email address. We use this information to personalise your experience on the courses you register on, and to send you a course completion certificate at the end of your course. We also will send emails with information about other courses you may be interested in joining, along with occasional special offers or discounts. We also send you emails as you progress through the courses with information about your scores in the questions on each module.

Payment processing

Our site uses third-party services to take payments. We use Stripe (privacy policy here) and Paypal (privacy policy here) for our payment processing. We do not see, store or have access to your payment details at any stage in the transaction. All payments are taken over secure SSL connections as per the terms of our payment processors. These payment processors may store cookie and other information as per their own terms and conditions.

Who we share your data with

When you complete a course, we will send you a certificate of completion, signed by the course leader. Our course leaders are trusted experts and will only use and keep your contact details for the purposes of sending out the certificate.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you are a student or have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Additional information

How we protect your data

Your information is stored on a secure server which is kept up-to-date with the latest versions. The server has a regular malware and virus check. The website is run using the latest software and tools are in place to update plugins and modules to the latest versions automatically to reduce the risk of security breaches. Additionally, our database is encrypted to minimise the risk of data breaches.

We enforce strong passwords for all users so that all data on the site is protected to the maximum level.

All data to and from our website is encrypted using up-to-date SSL technology so that it cannot be read except by us and you.

All of our staff have been trained to take the security of our site and your data very seriously.

What data breach procedures we have in place

In accordance with GDPR rules, if a data breach is detected, we will inform you within 72 hours of the detection so that you can take appropriate action.

What third parties we receive data from

We receive anti-spam services from Akismet (wordpress).

What automated decision making and/or profiling we do with user data

We do not perform any automated decision making or profiling on our user data.
